Data Migration

Move your business data into a new system with less risk and better control. We clean, structure and transfer master and transactional data so your team can get to work with accurate records from day one.

Data Migration

What our data migration service covers

Data migration is more than copying records from one system to another. We review your current files, identify duplicates and gaps, then prepare clean datasets for the new ERP environment. That includes customer and supplier master data, stock items, price lists, chart of accounts, open invoices, purchase orders, historical balances and selected transactional records.

For South African SMEs, the pressure usually comes from tight go-live dates, old spreadsheets, mixed source systems and month-end deadlines. We work with businesses in Centurion, Johannesburg, Pretoria, Durban, Cape Town and Gqeberha that need data to be moved properly the first time, with a clear audit trail and enough detail for day-to-day operations after go-live.

  • Master data cleansing and standardisation
  • Transactional data mapping and loading
  • Duplicate detection and field matching
  • Opening balance and history uploads
  • Validation against the target ERP rules

How we prepare your data before the move

Good migration work starts before any files are loaded. We begin with a data assessment to understand what exists, what must move, and what can stay behind. Some records are needed for operations on day one, while older history may only be required for reporting or compliance. We separate those needs early, so the migration scope stays practical.

Our team usually works with CSV, Excel, SQL extracts and data exports from older business systems. Where source data is messy, we use field-by-field mapping sheets to define exactly how each column will land in the new environment. This helps with items like unit of measure, VAT treatment, debtor age analysis, inventory bins and project codes. If the source records are not complete, we flag the gaps and agree the best fix before load time.

  • Source file review and data profiling
  • Field mapping and transformation rules
  • Data cleansing for names, codes and dates
  • Validation of VAT, currency and unit formats
  • Reconciliation totals before test loading

The migration process step by step

Our process is structured so your finance, operations and sales teams know what is happening at each stage. We start with a scoping session, then move into mapping, test loads, review cycles and final cutover. Where needed, we work around month-end, stock counts or municipal billing cycles so the move does not interrupt core work.

Once the first test migration is complete, we review exceptions with your team and correct any issues. This may include mismatched product codes, missing tax numbers or inactive customer records that should not be loaded. We then run a second test load, confirm the data totals and prepare the final live migration plan. On go-live day we move the agreed datasets, check balances and support your users while they confirm the system is ready for trading.

  • Discovery and migration scope definition
  • Data extraction from current systems
  • Cleaning, mapping and transformation
  • Test load 1, error review and fixes
  • Test load 2, reconciliation and sign-off
  • Final cutover and go-live support

Turnaround times and project sizing

Turnaround depends on the size of the dataset, the number of source systems and the quality of the information you start with. A smaller SME with one finance file and a simple stock list may only need 1 to 2 weeks for a focused migration. A business moving multiple branches, several years of transactions and more than one legacy source can take 4 to 8 weeks, especially if there are many exceptions to clean up.

We plan the schedule around your cutover window and business calendar. If you operate in retail, distribution, services or light manufacturing, we will also factor in stock movement, supplier payment runs and staff availability. Where load-shedding or unstable connectivity may affect access to source files or validation sessions, we build in extra time for review and re-run tasks.

The aim is not just speed. It is to get the data right enough for reporting, audit and daily transactions from the start, without forcing your team to spend the next three months fixing old records.

Pricing approach for migration work

We price data migration based on scope, complexity and the amount of cleaning required. Some projects are charged as a fixed fee after assessment, while others are billed in phases where extraction, cleansing, test loads and final cutover are separated. This gives SMEs better control over budget and makes it easier to align work with implementation milestones.

Costs are influenced by the number of entities being moved, such as customers, suppliers, items, GL accounts and open documents. If your source data has many duplicates, custom codes or incomplete fields, more time is needed for cleanup and exception handling. We always make the assumptions clear before work starts, so there are no surprises during cutover week.

  • Fixed fee for clearly defined migration scope
  • Phased pricing for larger or multi-system projects
  • Optional support for historical data archiving
  • Separate pricing for extra test cycles or late changes

Post-migration checks and maintenance intervals

After go-live, the job is not finished. We recommend post-migration checks in the first 7 days, again at 30 days, and then after the first month-end close. These reviews confirm that balances, stock values, debtor age analysis and open documents still agree with your source records and that users are entering data correctly.

For businesses with ongoing master data changes, we can also provide maintenance intervals on a monthly or quarterly basis. That may include review of new customer records, item code governance, inactive supplier cleanup and exception reports. If your team expands or your structure changes after an acquisition, branch roll-out or system upgrade, a follow-up migration plan may be needed to keep the data clean.

  • 7-day stability review
  • 30-day reconciliation and issue log close-out
  • Month-end validation after first full cycle
  • Monthly or quarterly data maintenance support

Practical ERP Migration For SMEs

SMEs need practical support, not unnecessary complexity. Our Centurion base allows us to support businesses across Gauteng and into Durban, Cape Town and Gqeberha with a process that suits local operations and local constraints. We work with small and medium teams that may not have a dedicated data department, so we keep the documentation clear and the handover manageable.

Oupa Mabuza leads the business, with Zulfa Rhoda overseeing ERP rules, Gerhard Pienaar handling integration design, Mpolokeng Tshabangu managing delivery, Muneeb Ismail on support and Thembisa Mabandla guiding training and adoption. That mix means the migration is not treated as a one-off file exercise. It is managed as part of the full system change, from the first mapping sheet to the last balance check.

If you need a structured transfer of business data into a new ERP environment, we can help you plan it properly and keep the moving parts under control.

Questions we get asked

What data can be migrated into a new ERP system?

We can move master data and selected transactional data, including customers, suppliers, stock items, chart of accounts, opening balances, open invoices and purchase orders. Historical records can also be included where needed for reporting or compliance.

How do you reduce errors during migration?

We use mapping sheets, test loads and reconciliation checks to catch issues before go-live. Duplicate records, missing fields and inconsistent codes are flagged early so they can be corrected before the final load.

Can you support us after go-live?

Yes. We provide post-migration checks in the first week, again at 30 days and after month-end. If needed, we also offer ongoing maintenance intervals to keep master data clean and consistent.
